Front Office Coordinator/Administrative Assistant       

House of His Presence, a church in Dallas and our ministries Cross and Crown Counseling and Cross and Crown Counseling Certified Academic Institute are looking for a new team member. We are a multi counselor ministry serving individuals, couples, and families since 2013, a church founded in 2019 and a Certified Pastoral Counseling School founded in 2020.

We are looking for a friendly multitasker to help keep our office flowing.  This front office position will serve multiple ministries but mainly the counseling office. As biblical Christ centered ministries, a firm faith in Jesus Christ and the ability to encourage and support all we serve is essential.

The Front Office Coordinator/Administrative Assistant is the first contact for the counseling practice and school and handles some church office duties. 75% of this job will be focused on the counseling office and 25% church and bookkeeping. You will be an integral part of our team showing honor and value for those we serve and be responsible for office administrative efficiency, caring for and assisting our clients, students, and congregation as well as providing support to our wonderful counseling team and pastoral staff. This is a shared job position and the hours are split between two part-time positions.

The Responsibilities of this role include but are not limited to:

Job Responsibilities:

  • Be the first impression and contact person representing our multiple missions

  • Answer phones and emails

  • Schedule & prepare paperwork for appointments

  • Greet and check in clients & collect payments

  • Generate billing statements

  • Answer questions and inform potential clients of counseling practice therapy and options

  • Maintain client confidence and protect operations by keeping information confidential

  • Maintain counselor schedules and support individual counselor administrative needs

  • Complete deposits and credit card reconciliations

  • Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies and communicating to Administrator

  • Data entry (Quickbooks)

  • Payroll (Quickbooks)

  • Make bank deposits and shop for church service supplies (must be able to drive)

  • Maintain waiting room cleanliness (dust, vacuum, water plants, pick up)

  • Other duties as assigned by the Administrator/Clinical Supervisor

Qualifications:

Knowledge, Skills and Abilities

  • Thorough knowledge of Microsoft Office (Word, Publisher, Powerpoint)

  • Thorough knowledge of Quickbooks or similar accounting system

  • Possess strong customer service skills

  • Ability to maintain confidential documents

  • Must be organized and able to manage multiple priorities

  • Ability to communicate confidential information in a well thought-out easily understood manner, both orally and in writing

  • Ability to communicate in a kind, honest, direct and professional manner, relating well to others to build rapport and positive interpersonal relationships

  • Ability to demonstrate active listening by asking clarifying questions

  • A teachable attitude that can receive feedback objectively

  • Must be able to identify and problem solve and be willing to ask questions

Prior experience is required in a medical or similar office environment; we will provide you with hands-on training and all the resources you need to succeed in our specific scheduling system and practices.

Job Type: Part-time

Pay will be based on qualifications.

 

Pay: $18.00 - $21.00 per hour depending on experience

Schedule:

  • Monday to Thursday

  • Occasional Fridays to cover other staff
